Add team members in PIM

You can add, edit, lock, and delete product team members as an Optimizely Product Information Management (PIM) administrator. You can also assign and manage what they can access in PIM.

Add team members

  1. Go to Settings > Team Members tab.

  2. Click Invite to add team members to configure property groups, properties, and product templates in PIM.
    Wait to add other team members, such as merchandisers, until after this configuration.
    • Enter the team member's email address.
    • Enter the team member's first and last name.
    • Select Administrator, Manager, or Merchandiser for the User Account Access role.
    • Select Product Importer or Asset Manager for team members with the manager or merchandiser roles if they should have additional access.
  3. Click Invite. This sends a system email to the team member with their login instructions.

Edit team members

You can edit product team member information and manage their permissions as an administrator.

  1. Go to Settings > Team Members tab.
  2. Click a team member's email address. The Details page displays.
  3. Edit the team member's information.
  4. Click Save.

Lock team members

  1. Go to Settings > Team Members tab.
  2. Click a team member's email address. The Details page displays.
  3. Click Lock User.
  4. Confirm the lock.

Delete team members

  1. Go to Settings > Team Members tab.
  2. Click a team member's email address. The Details page displays.
  3. Click Lock User.
  4. Confirm the deletion.

Assign products to team members

As an administrator, you can assign property values or product templates to team members with the Manager or Merchandiser role to determine which products they can modify or approve. (Users with the Administrator role already have access to everything and do not need product assignments.)

  1. Go to Settings > Team Members tab.
  2. Click a team member's email address. The Details page displays.
  3. Click the PIM tab. (The PIM tab does not display for administrators.)
  4. Select the checkbox beside each property value or product template to which the user should have access.
    If the user is assigned both the Manager and Merchandiser roles, when assigning products, you must also select whether the user has edit (merchandiser) or approval (manager) permission for the assigned products.

  5. Click Save.

Assign property used for product assignment

In the General tab under the Property used for product assignment setting, decide which product property or product template to assign products to merchandisers. For example, you may want different merchandisers to be responsible for products from certain vendors or brands. This setting shows only properties that are globally required and use a dropdown, radio button, or multi-select control type. 

  1. Go to Settings > General tab.
  2. Select an option from the Property used for product assignment dropdown list. You can select a listed property or choose product template.

  3. Click Save.
Changing Property used for product assignment clears current assignments for all team members, preventing team members with merchandiser and manager roles from editing or approving products until they are assigned values from the new property.
