Tasks allow you to publish your content to your site, feeds, or social networks such as Facebook, Twitter, LinkedIn, etc. There are four ways to create a task within the CMP (note: creating new tasks requires marketers to apply the appropriate fields — in alignment with the broader marketing campaign — to ensure proper organization and enable holistic campaign measurement).
In this article, you will learn how to:
Create a Task (General)
This option is available on the top of every page in the CMP. Click on the icon and a drop-down menu will appear with all of the workflows needed to create your tasks. We provide a few stock workflows, but you can create your own workflows as well.
Click on the "+" icon and select the "task" option to create a new task.
After being brought to the new task workflow modal, select the appropriate campaign and workflow from the respective dropdown list options.
Selecting a workflow at this step is not required but can save you some time because any required data for the workflow will be defaulted to your task. (See Setting Up Workflows).
Fields may have automatically come in from the campaign or task workflow. You can also select the Fields that are relevant for the task directly on the creation form. If the selected workflow has fields defined, those will be the only fields showing. All field values coming from a brief or a campaign will automatically populate. If there are conflicts such as a single select value being different on the campaign and task workflow, a modal will appear to pick the appropriate value before creating your task. If no workflow is selected, all fields will automatically carry over from the brief or campaign.
If your permissions are enabled, you will have an option here to “Add Field” using the available button. After clicking this optional button, a dropdown of multiple fields will appear from the Administrative Settings page (See Creating Fields). You add fields to your new task such as Checkboxes, Text Fields, etc. You can also “Create New” fields directly from the dropdown menu.
When you are finished with the Fields, click on "Create", and navigate to the "Plan" module to locate your task across the various sections alongside the 'Tasks' tab under the campaign page.
Create a Task (within a Campaign)
With the ability to create tasks from within each campaign, the CMP helps reduce the amount of time it takes to set up tasks and ensure they are consistently tagged.
To do so, users can create a task directly inside the campaign by clicking the "Add Task" button in the right-hand corner of the Tasks tab. Enter the task title, select a workflow for the task, and define a due date for the task.
The most recently created tasks will be presented at the top of the list within the "Tasks" tab of the campaign. You may view, access, and manage all content and non-content tasks your campaign depends on directly from this view. In addition, you can get a visual display for the timing and due dates of all campaign activity by using the Visual and Timeline calendars in the Plan module.
Create a Task (from List View and Visual Calendar in Plan module)
The Plan module's List View and Visual Calendar allows you to create tasks and events to display upcoming activity dates.
To create a task in the List View, clicking on the '+' icon gives you the option to not only create tasks and events but also additional campaigns. Simultaneously, the 'Add' button at the top right corner of the page can be used to achieve the same purpose as well.
Additionally, switching to the 'Planning' view of the Visual Calendar provides users with an '+Add New' option to create tasks and events - the feature is accessible by clicking on your preferred due date directly in the calendar, as shown below:
Create a Task (from Marketplace)
Our Marketplace contains all of the licensed content that is available to you.
Click on a piece of content and at the bottom of the window, you will see "Create Task". Once clicked, the task creation modal with appearing alongside the selected piece of content and you will need to insert all the relevant details before clicking on "Create" to finally create your task. You should be able to publish your content after completing the newly created task.
Create a Task (from Library)
The creation of tasks from "Library" is a super easy process. Once you have accessed the section, all you will need to do is select a file, be it an article, an image or a video, via which you would like to create a task. Clicking on the file will open a sidebar to the right of your screen where you will find the "Create Task" button - click on it to access the task creation modal and then insert all the necessary details before clicking on the "Create" button. The newly-created task will then load and come up in view.
Create a Task without a Workflow
A task without a workflow can be called a placeholder task. This allows users to quickly create a large number of tasks by eliminating previously mandatory fields (e.g. task start date, task due date, workflow, etc.) . This makes it easy to outline the required tasks of a campaign and create a plan for the future.
In order to create a placeholder task, go into the ‘Create New Task’ menu and enter the task name. Then, click on create:
Since the start date, due date, campaign and workflow were not selected, the task page will look like this:
The due dates will appear blank as expected. The workflow will be blank, with a 'Select Workflow' option visible. Also, the campaign field will be blank, with an 'Add Campaign' option being visible in view.
If a campaign or brief is selected, all fields will carry over to the 'Fields' tab.
When the workflow is later selected for work, those fields may change depending on fields defined in the workflow. It should be noted that once the change has been made, it cannot be reversed.
Clicking on the name of your preferred workflow from the dropdown menu should then add it to your task. The addition of the workflow coverts a placeholder task into a normal task.
