Within the Library, assets can be shared via a public link. Now, teams can customize the URL by which their files will be shared. By default, the system generated files URL will look like - <random_6_character_prefix>.files.welcomesoftware.com which can be updated to any URL the clients want using the custom domain integration.
For example, the default URL for 'My Organization' would be "ksheut.files.welcomesoftware.com", but they can integrate "files.myorganization.com" instead. So, after the custom domain integration, the URL will look like "files.myorganization.com/download/<unique_file_guid>".
In this article, you will learn how to:
Add a Custom Domain
Now, organizations can use a custom vanity URL as the public link for their library files.
Navigate to the user drop-down menu and select “Organization” Only users with “Admin” privileges can access the “Organization” settings.
The user will find this page with a “Custom Domain” tab in it.
If no other domain was added then there will be a button named “Add Custom Domain” to add the domain. Otherwise, previously added domain(s) will be shown here.
Select ‘Add Custom Domain’ and write your desired domain in the input box. Please note, the domain should be a fully qualified subdomain. For example - files.org.com, top-level domains cannot be added (i.e. org.com). After writing the appropriate domain, click “Save“.
The user will be unable to save the domain if the domain is used by another organization. They have to use a unique domain per organization.
After the domain is saved, a table with the necessary records will be visible on that same page.
Records can be downloaded as CSV by clicking on the meatballs menu (horizontal three dots) beside “Add New” and clicking on the “Download as CSV” button
The DNS Record displayed on the table needs to be created/inserted within your own domain's DNS Provider (please reach out to the development team in charge of managing your organization's Domain). After the records are updated on the Domain, it may take some time to become available for use (less than 24 hours).
After creating the DNS records, the “Check Status” link needs to be used to verify if the record has been propagated or not.
If the records are not verified yet, an error message will pop up which will ask the user to try again later.
If the records are added correctly and get propagated, the “Check Status” link will be replaced with a “Verified” label.
Activate the Domain
Users can now activate the domain by clicking on the “Activate” link to use it as their default domain for library files.
It will take a few seconds to activate the domain.
After successful activation, the custom domain will be used as the public link for the library files.
Delete a domain
Users can delete the domain if they want. After the custom domain gets deleted, the default system-generated URL will be used as the public link for files.
