  • Updated

Use the Chief of Staff in Optimizely Opal to handle daily operations so you can focus on the work only you can do. It briefs you each day, preps and recaps your meetings, and tracks competitor moves.

The Chief of Staff works on its own, on a schedule and in response to your calendar and inbox. It delivers its output to you in a message.

What the Chief of Staff does

The Chief of Staff includes the following jobs:

  • Daily brief – Pulls your calendar, scans overnight email, and flags anything that needs your attention. It runs first thing every morning so you start the day focused.
  • Weekly brief – Rounds up your agenda, highlights key priorities, and flags conflicts or gaps in the week ahead. It runs every Monday so you start the week with a clear plan.
  • Meeting prep – Gathers context on your attendees and surfaces relevant documents, email, and past conversations. It pulls together talking points and open questions before each meeting.
  • Meeting recap – Pulls out the key decisions, action items, and owners after each meeting. It drafts follow-up emails for external attendees for you to approve.
  • Competitive intel – Monitors competitor announcements, product launches, and market moves. It surfaces the signals worth your attention.

Each job is a workflow agent that performs on a schedule or trigger. Opal displays only the jobs an administrator turns on for your organization.

What the Chief of Staff needs

Connect the following tools so the Chief of Staff has the information it needs:

  • Email – Outlook Email or Gmail, to read your inbox and gather context for meetings.
  • Calendar – Microsoft Outlook Calendar or Google Calendar, to read your meetings for briefs and meeting prep.
  • Files – Google Drive, or Microsoft OneDrive and SharePoint, to read relevant documents for meeting prep.
  • Chat and meetings – Microsoft Teams, to read messages and meeting context and to deliver its output.
  • CRM – Salesforce, to read account and contact details for meeting prep.
  • Project trackers – Atlassian, ClickUp, or GitHub, to read project status and open items.

The Chief of Staff reads from the tools you connect and asks for your approval before it acts on your behalf. Opal displays only the tools an administrator connects for your organization.

How you receive its work

The Chief of Staff delivers each brief, meeting prep, and recap as a formatted report in a message. It updates your priorities in the conversation as your week changes.
