Best Practice: approval process

  • Updated

What are approval process best practices?

Why can't I see all checked in/out and submitted content in my reports or on my Workarea Smart Desktop?

  1. Editors submit content to the Level 1 Approvers.
  2. Level 1 Approvers submit content to Level 2 Approvers
  3. Level 2 Approvers submit content to the Final Approver.

Approval Process

  • The Level 1 Approver can see only what was submitted for them to approve or what was checked in/out at their level.
  • The Level 2 Approver can see only what was submitted for them to approve or what was checked in/out at their level.
  • The Final Approver can see only what was submitted for them to approve or what was checked in/out at their level.
  • If the Final Approver (or any approver) wants to see the status of content at the levels below them, they  need to be a part of those approval groups also.
  • The Final Approver needs to be in the Level 2 Approver group and the Level 1 Approver group.
NOTE: This person gets notifications for ALL content needing to be approved at levels below them and also sees reports that contained ALL content in the various states. This may confuse the approver as to which content is waiting on their actual approval or just waiting for an approver of a lower level.
