Updated order approval workflow

You must have 5.2.2512 to use this functionality. 

Optimizely Configured Commerce's updated order approval workflow lets users modify submitted orders waiting for approval. This prevents users from having to restart the order process. This change also improves communication and streamlines the workflow for approvers and submitters.

Benefits

• Order edit capability – Both order submitters and approvers can modify orders pending approval without requiring rejection and resubmission. This functionality includes adding, removing, or editing line items.
• Communication enhancements – The system provides additional storefront messaging to facilitate communication between the submitter and order approver regarding any changes made to an order.
• Role-based access control – The feature adheres to existing storefront user roles and permissions, letting users propose changes only to orders they have submitted for approval.
• Single-user edit status – Status management ensures that only one user can make edits at a time, preventing conflicting changes.
• Cart functionality improvements – The updated cart functionality lets users save changes and resume later. It also includes enhanced warnings, such as a dialog box to prevent accidental order deletion when a user attempts to remove all items.

Use the order approval workflow

Submitters

Submitters can edit orders that are pending approval. This includes modifying line items (adding, removing, or editing).

Users can click Submit for Approval when they are done editing the order.

Approvers

• When an approver clicks Approve Order on the Order Detail page, the orders' status changes to Approval in Process. The submitter can no longer edit or delete the order when this happens.

• Approvers can save their progress while editing the order and continue later. This redirects them back to the Order Detail page.

  

• If an approver clicks Remove all while reviewing the order, a warning dialog displays to confirm.

  

• Approvers can click Request revision on the Order Detail page and alert the buyer that they must revise the order.

  

Activity Log

You can view an activity log of the order approval process.

Click Show Activity Log to see an overlay with the order's main events, such as revision requests, order submissions, and order editing.

You can also send messages and see them in the log.
