Manage PII in ODP

  • Updated

Optimizely Data Platform (ODP) collects and stores your customer data, making it available to you in ODP for segmentation, reporting, campaigns, and more. Some of this data is considered personally identifiable information (PII), which is any data that you can use to directly or indirectly identify a person.

You can manage which fields are marked as PII, which of those PII fields users can still view as suggestions in features like segment building, and which ODP users have access to manage or view PII fields to ensure your customer data remains secure and private.

User roles required to access PII

To view fields marked as PII (regardless of if they are suggestible), you must have the PII Viewer role. Having this role alone does not let you select which fields are PII and suggestible, it just lets you view the data for those fields. The PII Viewer role also lets you:

  • Test and preview campaigns
  • View customer profiles
  • Access the GraphQL page
  • Interact with segments and data throughout ODP

Users without the PII Viewer role do not have access to the features listed above.

To mark fields as PII and suggestible, and view the data for those fields, you must have both the All Access and PII Viewer roles.

Manage these user roles in the Opti ID Admin Center.

Mark fields as PII and suggestible

If you have both the All Access and PII Viewer roles, you can manage which fields are set as PII and suggestible in Data Setup > Objects & Fields.

  • PII – When you select this checkbox for a field, the data in that field becomes accessible only to users with the PII Viewer role. Users without the PII Viewer role cannot access it and instead see a confidential label in place of the PII data.
  • Suggestible – When you select this checkbox for a field that you marked as PII, users without the PII Viewer role get access to the data for that field as suggestions in ODP features like segment building.

Example: Only PII enabled

For users without the PII Viewer role:

If you only have the PII checkbox selected for the Country field, a confidential label displays in place of the country.

When building segments or using other features that require you to set values for fields, a list of suggestions for the Country field does not display.

In this scenario, users can manually enter a country when they select Contains while building the segment. There is no indication if the country they enter matches one stored in ODP.

Example: PII and Suggestible enabled

For users without the PII Viewer role:

If you have both the PII and Suggestible checkboxes selected for the Country field, a confidential label displays in place of the country.

However, when building segments or using other features that require you to set values for fields, a list of suggestions for the Country field displays.
