Dashboards in Optimizely Analytics are the starting point for monitoring key insights linked to your warehouse data. Analytics provides two ways to locate your team's dashboards.
Use one of the following methods to locate an existing dashboard:
-
On the home page filters, click Dashboards to display only dashboards.
-
Use the search bar to enter keywords and locate dashboards by name, category, or creator.
For information, see Create dashboards in Optimizely Analytics.
Add a dashboard to favorites
You can add a dashboard to your favorites to access it quickly from the Favorites menu.
-
On the homepage, hover over the dashboard and click Add to Favorites.
-
You can also open the dashboard and click Add to Favorites.
You can now see the dashboard in the Favorites section, which you can access by clicking Favorites on the left menu panel.
Share a dashboard with a user or group
After you create a dashboard, share it with your team so they can view it and collaborate with you. Optimizely Analytics provides two ways to share a dashboard. Each user's access level depends on the application-level permissions you grant them.
- Users with admin access have unrestricted access to create, view, edit, and manage dashboards within the organization.
- Users without admin access can only see or edit the dashboards that are relevant to their role.
Share a dashboard with a link
Click Copy link and sent it to a team member.
Share a dashboard by invitation
Click Share. Enter the name of the user or group, define the access level, and then click Invite. Optimizely Analytics emails the user a link to the dashboard.
Share a dashboard with a public link
You can share a dashboard outside your organization with a public link. Anyone with the link can view the dashboard in read-only mode without an Analytics account. Add a password and an expiration date to keep the dashboard available only to the people and timeframe you intend. Public links work for dashboards only, not explorations.
Before you begin
An administrator must enable public links for the application on the Public access settings page. Until then, the share dialog shows the tab as Public Link (inactive).
To enable Public Access, go to Settings > Public Access and toggle Allow public links for dashboards on.
Create a public link
- Open the dashboard you want to share.
- Click Share.
- Click the Public Link tab.
- Toggle Enable Public Link on. Analytics generates the link.
-
Click Copy Public URL to copy the link to your clipboard.
You can now send the link to your recipients.
To stop sharing, turn off Enable Public Link and confirm. Anyone with the link loses access to the dashboard.
Require a password
You can add a password so viewers authenticate before they see the dashboard.
- On the Public Link tab, turn on Require viewers to input password.
- Enter a password, or click Generate to create a random one. The password must be at least 10 characters and include a number, an uppercase letter, and a lowercase letter.
-
Click Save.
Analytics stores the password encrypted and cannot display it again. To change it, enter a new password and click Save.
To remove the password, turn off Require viewers to input password and click Save. The dashboard then opens for anyone with the link, without a password prompt.
Set an expiration date
Set an expiration date so the link stops working after a date you choose.
- On the Public Link tab, turn on Set expiration date.
- Choose a future date. The link expires at the end of that day in your local time zone.
-
Click Save.
After the expiration date, the link stops working and the dashboard is no longer publicly accessible.
Viewer experience
A viewer who opens a public link sees a read-only version of the dashboard. They cannot edit tiles or change the layout, and they do not need an Analytics account.
When the link requires a password, the viewer enters it before the dashboard loads. After five incorrect attempts, Analytics locks further attempts for two minutes and displays the remaining wait time. The viewer tries again when the lockout ends.
When a link expires or is no longer available, the viewer sees a message that the link is no longer available and a prompt to ask the dashboard owner for a new link.
Manage public links as an administrator
You can manage every public link for an application from the Public access settings page. The page lists each link with its name, URL, expiry, password status, and enabled state.
- Allow public links – Turn the application-level setting on to let users create public links, or off to block creation.
- Search – Find a link by dashboard name.
- Show expired links – Include expired links in the list.
- Enable or disable a link – Turn an individual link off to revoke access. You can turn it on again later.
- Edit a link – Update a link's password or expiry date.
- Revoke links – Delete a single link, or select several and delete them in bulk.
